Wedding guest transport in Hawke's Bay costs from $270 NZD for a single shuttle run, or $900 NZD for a delivery run and a late return, carrying up to 11 guests a run in the Mercedes-Benz Sprinter. That works out at $82 NZD per guest for the return journey. We price per vehicle, not per guest, and every price includes GST.
We collect your guests from their hotels and accommodation, deliver them to the ceremony or reception, and run them home again at the end of the night. Your chauffeur works to a run sheet we confirm with your venue, so the vehicle is waiting when the evening ends rather than an hour early.

Planning
How many runs will you actually need?
Most couples over-order the arrival and under-order the return. These are the four things worth knowing before you book.
Size the return, not the arrival
More guests take the shuttle home than take it out. People drive themselves to the ceremony, then leave the car at the venue once the wine is poured. Plan for the return run to carry more people than the delivery run, not fewer.
Do not size off your guest list
Local guests drive. Guests staying at the venue walk. The number who need a shuttle is usually the count staying in Napier, Hastings and Havelock North hotels, which is often half the room or less.
Eleven guests a run
The Mercedes-Benz Sprinter carries 11 guests in individual leather reclining seats. The V-Class carries 5, and the fully electric eVito carries 7. Beyond 11 we either run waves in one vehicle or allocate a second.
Leave spare seats
Guest numbers move in the last fortnight. We build one spare seat in ten into the run sheet so a late change does not leave someone standing in the car park.

No pickup times to agree and no waiting charge at any point. This is the option most larger weddings take, because one vehicle can run four or five waves inside eight hours.

Why your venue may ask for one
Many Hawke's Bay wedding venues sit among vines or on rural roads with limited parking, and most set a time by which guests are expected to have left. Curfews across the region commonly fall between 10:30pm and midnight. A booked shuttle answers all of it at once: no cars left overnight in a vineyard, no guest driving home after a long dinner, and a departure that matches the time your venue has given you.
We confirm that departure time directly with your venue rather than asking you to predict it. Venues know exactly how their evening runs.

We agree the pickup points and times with you, then confirm the departure time directly with your venue. You receive the finished run sheet by email, with every time stated in New Zealand time.
We run the night
Your chauffeur works the run sheet from the first pickup to the last drop-off, and your coordinator has a direct number throughout.

How much does wedding guest transport cost in Hawke's Bay?
A single shuttle run costs $270 NZD in the Mercedes-Benz Sprinter for journeys under 5km, or $375 NZD up to 30km. A delivery run with one booked late return costs $900 NZD, which is $82 NZD per guest for eleven guests travelling both ways. Where the vehicle is held all evening for multiple waves, eight hours costs $3,000 NZD. All prices are per vehicle and include GST.
How many guests fit in one run?
Eleven in the Mercedes-Benz Sprinter, in individual leather reclining seats. Five in the Mercedes-Benz V-Class, and seven in the fully electric Mercedes-Benz eVito. Beyond eleven we either run waves in one vehicle or allocate a second, whichever suits your venue and your timings.
Can you collect guests from more than one hotel?
Yes, and we do not charge extra for it within 30km. Multiple pickup points across Napier, Hastings and Havelock North are normal on a wedding run sheet. We sequence them so the last pickup arrives at the ceremony with time to spare.
Do we need a shuttle if our venue has parking?
Parking is only half the question. The other half is how guests get home. Many Hawke's Bay venues sit on rural roads, most set a time by which guests are expected to have left, and nobody wants to drive after a long dinner. A booked return run solves the departure even where parking is not a constraint.
Why would the return run need more seats than the arrival?
Because guests who drove themselves to the ceremony leave the car at the venue once the evening starts. It is common for a return run to carry half again what the delivery run carried. We size the return first and work backwards.
How many spare seats should we allow?
We build roughly one spare seat in ten into the run sheet. Guest numbers move in the last fortnight, and a spare seat costs nothing while a guest left in a car park costs the night.
How do we work out how many guests will actually use it?
Count the guests staying in hotels rather than the full guest list. Local guests drive themselves and guests staying at the venue walk. The shuttle number is usually half the room or fewer, and we are happy to work it through with you from your accommodation list.
What time will the last run leave?
We confirm that directly with your venue rather than asking you to predict it. Curfews across Hawke's Bay commonly fall between 10:30pm and midnight New Zealand time, and the confirmed departure goes on your run sheet before the day.
What happens if the night runs late?
On a booked return your chauffeur waits 15 minutes from the agreed time at no charge, then waiting is billed in 15 minute increments at $275 NZD per hour in the Sprinter and $200 NZD per hour in the V-Class. Where we hold the vehicle for the evening there is no waiting charge at all.
Can guests take a later run if they want to stay on?
Yes. A second return run costs $525 NZD in the Sprinter and $450 NZD in the V-Class. Most couples run families and older guests home around 10:30pm and the rest at close. Where we hold the vehicle for the evening, extra runs are already included.
Are your wedding shuttles electric?
Our fleet is electric first. The BYD Atto 3, Tesla Model Y and Mercedes-Benz eVito are fully electric, and the eVito seats seven. The Mercedes-Benz Sprinter and V-Class are diesel, and we use them for larger groups and longer distances.
How far in advance should we book guest transport?
As soon as your venue and your guest accommodation are settled. We hold one wedding per vehicle per day, and Saturdays between November and March are the first to go.
Is alcohol allowed on board?
Yes, and glassware is welcome. We ask only that your coordinator lets us know if anyone needs a little extra help getting home, so the chauffeur can plan the drop-off order.
Can you work to our coordinator or venue rather than to us?
Yes. Most run sheets are built with the venue or the coordinator, and we give them a direct number for the night. You do not need to be the one answering the phone on your wedding day.
